Publishing your name change in the gazette is only half the job. The notification is proof of the change; it does not update any record on its own. Each authority has its own process. Doing them in the right order saves months of mismatched documents. This guide sets out a practical sequence.
A sensible order
- Aadhaar first, because it is used to verify almost everything else.
- PAN next, since banks and investments match your PAN name.
- Bank accounts, then investments, insurance and EPF.
- Passport, once Aadhaar and PAN show the new name.
- Voter ID, driving licence, property and society records.
- Educational and employment records, which can take the longest.
Record by record
| Record | Where | What is usually needed |
|---|---|---|
| Aadhaar | myAadhaar portal or an Aadhaar Seva Kendra | Gazette notification or other accepted proof of name change; a small fee |
| PAN | “Changes or correction in PAN data” through Protean (NSDL) or UTIITSL | Gazette notification (or marriage certificate for a marriage-related change), Aadhaar |
| Bank and demat | Branch or online request | Gazette notification, updated Aadhaar and PAN, KYC form |
| Passport | Passport Seva: re-issue for change in personal particulars | Old passport, proof of name change as per the current Passport Seva document list |
| Voter ID | Voters’ Service Portal: form for correction of entries | Proof of new name |
| Driving licence | Parivahan / RTO | Proof of new name, existing licence |
| EPF | Through the employer and EPFO joint declaration process | Proof of new name, updated Aadhaar |
| School or university records | The board or university | Application with gazette notification; procedures and timelines vary widely |
Pitfalls to avoid
- Aadhaar limit: UIDAI generally permits a name to be updated only twice in a lifetime online; further changes need a special process. Get the spelling right the first time.
- Exact match: use the new name exactly as printed in the gazette, including spacing and initials.
- Address before name after marriage: if you are also changing your address after marriage, update it in a separate step, so each document shows one change at a time.
- Keep certified copies: download the notification and keep printed and digital copies; you will need them for years.
- Property and society records: write to your housing society and the property tax department with the gazette notification so future sale or transfer papers match.
Frequently asked questions
Do I need an affidavit as well as the gazette?
Some authorities ask for an affidavit linking old and new names. The gazette notification is usually the main proof.
Can I update my passport without the gazette after marriage?
For a change of surname on marriage, the marriage certificate is generally accepted. For other changes, the Passport Office has its own requirements. See name change after marriage.
My bank is refusing to update my name. What can I do?
Ask for the refusal and the rule relied on in writing, escalate to the bank’s grievance officer, and then to the RBI Ombudsman at cms.rbi.org.in if needed.
