“Mohd” in one document and “Mohammed” in another. “Shaikh” and “Sheikh”. A missing middle name on the PAN card. These small mismatches are among the most common reasons a passport, bank account or job verification gets stuck. Many people assume the answer is always a gazette notification. Sometimes it is; often it is not.
The basic distinction
| Type of problem | Example | Usual solution |
|---|---|---|
| Clerical or spelling error in one document | “Priyanka” written as “Priyank” in the school certificate | Correct that document directly with its issuing office |
| Variation across documents, same person | “Mohd. Irfan” and “Mohammed Irfan” | Choose one form, correct the documents that differ, and use an affidavit if asked |
| A genuine change of name | Changing “Sunita” to “Siya”, or adopting a new surname for reasons other than marriage | A gazette notification, then update all documents |
Corrections you can usually make directly
- Birth certificate: the registrar of births can correct a clerical or formal error in the register, on application with proof. See birth registration and corrections.
- School and board certificates: apply through the school; boards allow corrections in limited situations, usually with the birth certificate.
- Aadhaar: spelling corrections can be requested with a valid supporting document. Aadhaar limits how many times a name can be updated, so get it right the first time.
- PAN: a correction application can be made online with supporting proof.
- Passport: a minor spelling correction can often be made on a reissue application with supporting documents; a major change usually needs a gazette or other prescribed proof.
- Bank accounts: banks update the name on the basis of the corrected KYC documents.
When a gazette is needed or safer
- Your first name or surname is changing, not just its spelling.
- Your documents show substantially different names and no single document is authoritative.
- An authority, such as the Passport Office, an employer or a foreign embassy, specifically asks for a gazette.
- You are correcting a minor’s name in a way the school or registrar will not accept without one. See changing a minor’s name.
The Maharashtra Gazette treats any change, including a spelling change, as a “change in name”, so the process and fee are the same. See gazette fees and time.
Fix documents in the right order
- Decide on one exact spelling, ideally the one in your birth certificate or passport.
- Correct the birth certificate or school record if that is where the error started.
- Update Aadhaar, then PAN.
- Update the bank, passport and other records.
If you get a gazette, update the documents in the order shown in updating records after the gazette.
Frequently asked questions
Will an affidavit fix a spelling mismatch?
An affidavit stating that two forms of the name refer to the same person is accepted by many offices for minor variations. It does not correct the underlying documents, and some authorities will not accept it alone.
My date of birth is also wrong. Can the gazette fix both?
A gazette notification does not change your date of birth in official records. See date of birth changes.
