You have applied online for a change of name, religion or date of birth in the Maharashtra Government Gazette. Now you are refreshing the portal and seeing messages like “your application approved by DGPS”, and wondering where the actual gazette is. This guide explains, step by step, how to check your status and download the gazette PDF, based on the Directorate of Government Printing, Stationery and Publications (DGPS) user manual for e-Gazette services.
Quick answer
- Go to the DGPS portal (dgps.maharashtra.gov.in) and choose English or Marathi.
- Click “Rajpatra Status”.
- Select the service: Change in Name / Religion / Date of Birth.
- Search using your Application ID or your Registration Number.
- Once a Registration Number has been allotted, a “View Gazette” link appears. Click it to open and download the gazette as a PDF.
Application ID vs Registration Number
| Application ID | Registration Number | |
|---|---|---|
| When you get it | When you submit the application | When the application is approved for publication |
| What it shows | Your application has been received | Your notice has been accepted and numbered for the gazette |
| Use it to | Track the application | Find and download the published gazette, and quote it to other authorities |
Keep both numbers safely. Many authorities ask for the gazette registration number along with the PDF.
What “approved by DGPS” means
A message that your application is approved means the Directorate has scrutinised your application and documents and accepted it for publication. It is an important step, but it is not the final proof. The proof of your name change is the published gazette notification, the PDF you download through “View Gazette”. Until that link appears, wait; do not reapply.
Typical stages of an application
Portal wording can change, but applications generally move through these stages:
- Submitted: the application and fee have been received; you have an Application ID.
- Under scrutiny: officials are checking your details and documents.
- Returned or rejected: something is wrong (for example, a mismatch between the old name and your ID, an unclear scan, or a missing supporting document). Read the reason carefully. Since a submitted application cannot be edited, a fresh, corrected application is usually needed.
- Approved: accepted for publication; a Registration Number is allotted.
- Published: the notice appears in the gazette, and “View Gazette” lets you download it.
The service period stated for the e-Gazette is 15 days from a complete application. See gazette fees, timelines and rejection reasons.
Finding a gazette without your numbers
The portal’s View Gazette search also lets you browse published gazettes by division, section, date range and gazette type. If you have lost your Application ID, check the email or SMS you received when applying, then browse the relevant period and section for your name.
If your gazette does not appear
- Still under scrutiny after 15 days: check for a message asking for clarification, then contact DGPS e-Gazette support with your Application ID: helpline 022 6131 6404, email dgps.support@mahait.org. Complaints can also be registered on the Aaple Sarkar grievance portal (suvidha.mahaonline.gov.in).
- Rejected: note the reason, correct the issue, and file a fresh application.
- Approved but no View Gazette link: publication may still be pending; check again after a few days.
- Payment deducted but no application: keep the transaction reference and raise it with the portal’s support before paying again.
Documents commonly needed (so you are not rejected)
- Identity proof showing the old name exactly as entered;
- a photograph in the prescribed size and format;
- a caste certificate if applying in the backward class category;
- age proof for a minor;
- a legal document for middle name changes, adoption or divorce, and a marriage certificate for a change after marriage.
After you download the gazette
Save the PDF in several places and print a few copies. Then update your records in a sensible order: Aadhaar, PAN, bank, passport. See updating records after the gazette.
Frequently asked questions
Is the downloaded PDF valid, or do I need a printed copy from the gazette office?
The published e-Gazette PDF is the official publication and is generally accepted. A visit to the office is rarely needed. See the gazette office in Mumbai.
Can I download the gazette on my phone?
Yes. The portal works on mobile browsers; download the PDF and save it to cloud storage as well.
It says “approved by DGPS” but I cannot download the gazette. Why?
Usually because the notice has been approved but not yet published. Download works only after a Registration Number is allotted and the “View Gazette” link appears against your application. Check again after a few days. If the link appears but the PDF does not open, try another browser, allow downloads and pop-ups for the site, or use “View Gazette” search with the publication date and your name. If nothing appears well after the 15-day period, write to dgps.support@mahait.org with your Application ID.
My status says approved, but my bank wants the gazette. What do I give them?
Wait for publication and give them the downloaded gazette PDF with the registration number. An approval message alone is usually not accepted.
